Responsibilities
Position Summary:
Develop and enhance processes for project management for the Career Center, focusing on technology implementation, integration and utilization. Manage and ensure quality of student, alumni and employer data across multiple systems, oversee IT support, training, and recommendations for staff, and manage Greene Center website and digital offerings. Troubleshoot and maintain various products and provide outstanding customer support to internal and external clients. Assist campus partners to more effectively understand Career Center initiatives through the utilization of technology. Lead office-wide special projects from conception to launch including reporting on key deliverables.
Responsibilities:
TECHNOLOGY & SYSTEMS ADMINISTRATION
Manage day-to-day oversight, coordination, and use of all Greene Center technology. Provide end-user technical support and training for students and staff and oversee the overall IT management needs of the department (such as PC/Mac laptops and related peripherals, workstations, presentation and educational technology, video conferencing, etc.), and connecting with University IT as needed and appropriate.
Provide recommendations regarding the technical equipment and infrastructure needed to support strategic initiatives of the office
Conduct, and maintain an ongoing IT inventory in order to gain a thorough understanding of business needs. Make recommendations based on external trends and the continual evolution of mobile technology.
Act as primary liaison between Greene Center partners with regards to the implementation of technology in the Greene Center
Serve as technical point of contact for all IT contracts and additional technologies used including Handshake, Meliora Collective, Vault, and other resources
PROJECT MANAGEMENT
Lead selected special projects that require cross-functional engagement with key internal staff, and with external stakeholders, as appropriate.
Manage department-wide projects and new initiatives from conception to launch focused on technology, operations, client experience, and partnership development.
Ensure that all projects are delivered on-time, within scope and within budget.
Develop a detailed project plan to monitor and track progress and ensure resource availability and allocation.
Manage changes to the project scope, project schedule, and project costs and communicate accordingly.
Manage incoming requests for projects or other work requests coming into Career Center. Will act as the initial point of contact for projects that potentially involves entire Center operation.
RELATIONSHIP MANAGEMENT
Manage relationships with various technology vendors, including providing feedback on enhancements, issues, trends and needs in the career services industry, and training development.
Explore new partnerships with community members and peer institutions to enhance technology sharing, technology creation, and entrepreneurial opportunities for Center.
Identify and train staff/stakeholders as needed for various project implementation plans.
Facilitate meetings and debriefing sessions to raise awareness of projects, communicate stakeholder roles, and provide opportunities for feedback and involvement in Career Center strategy.
Resolve issues quickly by providing timely and clear direction, follow up, and orchestrate lessons learned meetings if needed.
WEBSITE ADMINISTRATION
Together with the Director of Operations and Data and the Marketing & Communications Program Director, maintain a consistent look and feel throughout all web and digital properties.
Coordinate web projects and site updates, ranging from text updates to new feature implementation.
Lead the efforts to identify and implement improvements to the Greene Center’s website to enhance student career education outcomes, technology vendor utilization, alumni and employer connectivity, and overall digital user experience.
Monitor, report, and analyze web site analytics and provide keyword guidance and coordination of search engine optimization (SEO) activities and share notable findings with content owners as needed
DATA MANAGEMENT AND TRANSFER
Update and adjust student account and profile data across multiple systems via imports to ensure accuracy of information.
Leverage existing data sources to verify, validate, and reconcile student information, and establish project plans and schedules to ensure accurate data updates and conversions.
Manage user rights and access policies for multiple applications, develops policies and procedures to accurately manage the flow of alumni, student, and employer data to internal and external systems.
LEADERSHIP
Assist in the management of office operations and in representing career services to the campus community.
Provide support and assistance in setting performance goals, reaching goals, and engaging in self-appraisal.
Encourage staff development and growth. Showcase and encourage successful staff effort at the campus, local, regional, and national levels.
Lead and direct several major office-wide administrative functions.
Qualifications:
Bachelor’s Degree required
Master’s Degree, emphasis in management information systems, data science, web development or similar field preferred.
Required:
2-5 years of related experience in information management, database operations, and technical customer support.
Demonstrated experience working in and fostering a diverse faculty, staff, and student environment or commitment to do so as a staff member at UR.
Excellent task management, organizational and consensus building skills.
Ability to embrace and drive change and to organize and effectively manage multiple priorities, programs, and projects.
Experience in technical support, information systems management, web development or programming.
Familiarity with career management systems, student information systems, online-learning or other similar information and service management tools.
Demonstrated exceptional communication skills (written, oral, intercultural).
Ability to collaborate cross-functionally in the office environment and to interface with a wide array of stakeholders within our campus community.
Preferred:
Awareness of trends within higher education, career services, employment marketplace, and economy.
Project management and budget management experience.
